Administration Specialist

The LGBT Freedom and Asylum Network, or LGBT-FAN, is an all-volunteer, national coalition dedicated to supporting asylum seekers and the organizations engaged in providing assistance.   LGBT-FAN seeks a volunteer Secretary to serve on the Steering Committee, and oversee the organization’s administrative tasks and maintains record of LGBT-FAN’s minutes, documents, and projects.  You are an energetic, creative, and talented individual with solid skills in interpersonal communication, administrative duties, and organization methods.  Immigrants please apply!

Primary Responsibilities Include:

  • Oversee administrative tasks, including but not limited to:

    • record and post all meeting minutes

    • provide access to and knowledge of LGBT-FAN external documents while maintaining strict client confidentiality, while streamlining overall document accessibility

    • execute clerical tasks such as scheduling conference calls

    • file, label, organize and respond to requests for internal documents from Steering Committee members

    • Count and record all votes

    • Maintain the LGBT-FAN Member contact list and calendar

    • Manage LGBT-FAN’s community member listserv

  • In conjunction with the Communications team and the National Coordinator, respond as needed to requests for assistance

  • Serve on and communicate with the Steering Committee, which includes approximately 12 conference calls and 1 in-person meeting annually. Works closely with the National Coordinator

  • Promote organizational internal development through continued development of protocol documentation for internal structure and operations

  • Provide direct administrative support to Steering Committee for projects as needed

  • Assist as needed with fundraising and event planning efforts

Desired Skills and Experience:

  • Working knowledge of Microsoft Office suite and Google Drive apps (Docs, Sheets, Forms) to communicate and plan internally

  • Professional writing, editing, and note taking skills

  • Reliable and independent thinker who can take multiple opinions and point of view and synthesize coherently

  • Confident and collaborative team player who maintains regular and open communication with colleagues

  • Ability to work efficiently and accurately in a collective environment, as well as ability to work remotely and with minimal supervision

  • Team leadership experience to manage multiple projects

  • Strong organizational skills, including effective time management, ability to work under pressure of deadlines, and the ability to prioritize tasks as needed

  • Professional-level working knowledge of written and spoken American English

Estimated Time Commitment:

Approximately three to four (3-4) hours per week (this will fluctuate depending on activities), plus approximately twelve (12) LGBT-FAN Steering Committee conference calls (1 hour each) and one in-person meeting per year.  Flexible scheduling.
